Terms of Engagement

We’re so glad you’re here. These terms outline how we work together and what you can expect when you collaborate with Design Impact Studio Limited ("Design Impact", "we", "us", or "our"). They’re designed to create clarity, build mutual trust, and set us both up for a smooth, respectful process. By starting a project with us, both parties agree to these terms.

Our Approach

We work collaboratively, flexibly, and with care. From brand strategy to website launch, you’ll have a dedicated team holding the process with thoughtfulness and momentum. Your voice and vision are integral, and we’re here to guide and co-create with you.

Values Alignment

We only work with purpose-led organisations whose values align with ours. We don’t take on projects linked to fossil fuels, exploitative industries, or anything that undermines equity and sustainability. If you're a current client and your ethos changes, please let us know.

Scope, Extras & Changes

We’ll agree a clear scope of work at the start, including what’s being delivered, timelines, and costs.

If the project scope increases - for example, if new pages, features, or deliverables are requested - we’ll pause, review and quote for additional work.

If extra costs come up (like paid fonts, stock images, or add-on services) we’ll check with you first and confirm in writing.

Timelines & Dependencies

Design Impact will provide a project timeline with key feedback points and revision rounds agreed together. Staying on track depends on timely collaboration.

Sometimes we’ll need things from you (e.g. brand materials, logins, etc) so please aim to send these promptly when requested.

Likewise, we ask that content, feedback and decisions are provided within agreed timeframes. If these are delayed, we may need to shift the timeline to accommodate.

Communication

We use respectful, fact-based communication at all times. We’re committed to non-violent communication and take responsibility for how we show up and speak to one another. Communication typically happens via email and/or agreed platforms during working hours, with respect to professional/personal boundaries.

Project Payments

We often offer a phased approach to payments to help you spread the cost, but if you experience any problems then please do reach out for a chat.

If payment is missed or withheld, we may pause work and withhold final deliverables until it’s resolved. Final invoices are due on the date issued, regardless of timeline changes (unless a delay is caused by us).

If, for whatever reason, either of us needs to end the project early then we ask for at least 14 days’ notice in writing. Upon termination, you’ll only be invoiced for all work completed up to that point, and no refunds will be issued for any completed work already paid for.

Ownership & Portfolio Use

Once the final payment is made, you’ll have full ownership of your final brand and website deliverables.

Unless agreed before commencing work, we may showcase the project in our portfolio, presentations, or social media. A small “Built by Design Impact Studio” badge may appear in your website footer.

Limitations & Liability

We’ll always do our best to deliver thoughtful, high-quality work. However, we can’t be held liable for delays or losses caused by things outside our control - including platform outages, or third-party errors. We also can’t accept responsibility for indirect or consequential losses, such as lost revenue or goodwill.

Ongoing Support

Many of our clients choose to continue working with us after launch. Whether you need updates, new features, or ongoing content support, we offer flexible retainer packages and project-based support. Just let us know what you need.

We’re here to help you thrive. By starting work with us, you agree to these terms  but we’ll always stay open to conversation if anything needs clarifying or adapting.
